What a proforma invoice is for
A proforma invoice is a preliminary statement of what the final invoice will show, sent before delivery or before an order is confirmed. Buyers use it to arrange payment, get internal approval or open a bank process, and importers are often asked for one.
It is not a demand for payment and it is not a tax invoice, and the PDF says so on its face so nobody mistakes it for the real thing.
Once the goods or services are supplied, issue the actual invoice, VAT bill or PAN bill for the same items.
How to make one in five steps

Add your business
Your business name, address, tax number and, if you like, your logo. The logo is read in your browser and never uploaded.

Add your customer
Name and address, plus their PAN if they are a business that needs it for their own accounts.

List what the order covers
One line per item or service, with quantity and rate. Totals, discount, VAT and the amount in words update as you type.

Set the dates
The issue date and the valid-until date both show in AD and Bikram Sambat, so nobody has to convert them.

Questions
Is a proforma invoice a tax invoice?
No. It states what the final invoice will show. The document says so in print, and you issue the real invoice once you have supplied the goods or services.
Should a proforma invoice show VAT?
If you are registered for VAT and the sale is taxable, show it, so the buyer sees the full amount they will be asked for.
What is the difference from a quotation?
A quotation offers a price and invites acceptance. A proforma invoice usually comes after the price is agreed and reads like the invoice that will follow.
Can the buyer pay against a proforma invoice?
Buyers often do, by agreement. Add your payment link or QR and they can pay it from their phone, straight into your own account.
Which dates does a proforma invoice carry?
The issue date and a valid-until date, each printed in AD and Bikram Sambat, so the buyer knows how long the stated prices hold.
Do you store the document?
No. It is made in your browser and never reaches us.
